Hello hello, CIESC Staff!


Get excited for Gmail! 🎉🎉🎉


Dale has been working triple hard to make this transition from Outlook to Gmail as easy as possible, and as of today we are all officially migrated and using Gmail! Thank you to everyone for bearing with us throughout this process. We wanted to compile some tips and videos to help finalize this transition and figured this month's newsletter was the best way to do so!

The main information to note!

  • Email Signatures: You will need to recreate your email signatures in Gmail. Instructions can be found here: Create a Gmail Signature.
  • Shared Calendars: Users will be required to re-add their shared calendars in Google. For example, Sunrise’s calendar currently shows in my Google Calendar, as dwhitehead@ciesc.org/Sunrise Room. I will Unsubscribe (remove) that calendar and re-subscribe following the instructions found here: Subscribe to Someone’s Google Calendar.
  • Groups: Users can create their own Groups in Google. Many of the public Groups have been recreated, but if you had any private groups, you may need to recreate them. Instructions are here: Create a Google Group.
  • Email Forwarding: If you have emails being forwarded to your primary work email from other @ciesc.org or @indianaonline.org addresses, please let me know if you need me to verify these forwarding rules have been recreated.
  • Access to Outlook:  Your account in Office 365 will remain active, so you will still have access to view old Outlook emails or data after the final migration. Nothing will be permanently lost. If any emails, calendar events, or contacts are missing, please let me know. DO NOT send emails from Outlook once you receive confirmation your account has been switched to Google. It is recommended that you remove Outlook apps from your computers, phones, and unlink accounts that sync with your Outlook email and calendar. If you still must access Outlook, please do so on the web app at: Outlook.
  • Outlook Folders: These will be called Labels in Gmail.
  • Outlook Rules: Any custom rules set up in Outlook will not be migrated. You will need to manually add these in Gmail as needed. They are called Filters in Google. Instructions can be found here: Create rules to filter your email.
  • Office 365 Access: Starting August 1st, your Office 365 license will be changed to Office 365 A1.  The A1 license does not include the "Desktop Client Apps" for the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc).  You can still access them via a web browser by logging into Office.com.
  • Calendly: For those who use Calendly, you will need to remove the connection to your Outlook calendar and connect your Google Calendar. Instructions can be found here: Getting started with Google Calendar.
  • Zoom: The Zoom for Google Workspace add-on is enabled and can be accessed in Gmail and Google Calendar. You will need to authorize your account for first-time use. Instructions can be found here: Sign-in to Zoom for Google Workspace.

Did you have a ciesc.k12.in.us email address???

For those who have used @ciesc.k12.in.us accounts over the years, you will need to make sure any subscriptions or services using that address have been changed to @ciesc.org or @indianaonline.org. Otherwise those emails will still be sent to Microsoft Outlook.

Two Factor Authentication Coming Soon!!!

Be prepared that we will be enabling multifactor authentication (MFA), or as Google calls it: 2-step verification. This is not happening immediately, but will happen in the coming months and details on the implementation will be provided beforehand. Now is the time to connect with your friendly neighborhood tech department if you are still having trouble with LastPass!

Do you work with contractors or outside groups???

If you are currently working with any individuals, contractors, or groups that have been issued @ciesc.org or @indianaonline.org email addresses, please let me know so we can ensure they were migrated and informed of the change
